Mail Account Configuration

You can now configure your mail account settings to sync and track your communications. When a contact responds to an email sent through SolarPlus, the message is recorded and referenced directly within the CRM under the COMMS tab.

To refresh the list and view the latest responses, simply click the Pull new emails button.

How to Set Up Your Mail Account Integration

To sync your external emails with the SolarPlus CRM, follow these steps:

1. Navigate to Admin > My Preferences > Integration.

2. Locate the Mail Account Configuration section.

3. Enter the following technical details:

   • IMAP Host

   • IMAP Port

   • IMAP Username

   • IMAP Password

   • IMAP Encryption

!NOTE You can obtain most of this information from your IT team or email provider. For the IMAP Password:

• Standard Email: Enter your standard email credentials.

• Google Hosted Domains: You must use a unique App Password.

How to Set Up a Google App Password

For Google-hosted domains, your regular email password won't work for IMAP syncing. You must generate a unique 16-digit App Password:

1. Go to your Google Account Security settings: https://myaccount.google.com/security

2. Enable 2-Step Verification: This must be ON for the App Passwords option to appear.
   

3. Find App Passwords:

   • Search: Use the search bar at the top of the page and type “App Passwords”.

   • Manual Scroll: Go to Security > How you sign in to Google > 2-Step Verification. Scroll to the bottom of that page to find App passwords.

4. Generate the Code: * Enter a name for the app (e.g., "SolarPlus CRM").

   • Click Create.
     

5. Copy and Paste: A 16-character code will appear in a yellow bar. Copy this and paste it into the IMAP Password field in your SolarPlus integration settings

Common IMAP Hostnames & Settings:

Main email providers use specific IMAP hosts for syncing, with the most common being imap.gmail.com (Gmail), outlook.office365.com (Outlook/Office 365), and imap.mail.yahoo.com (Yahoo). These servers typically require SSL encryption on port 993 to securely manage email across devices.

• Gmail: imap.gmail.com (Port 993)

• Outlook/Hotmail: outlook.office365.com (for Office 365) or imap-mail.outlook.com (personal accounts)

• Yahoo Mail: imap.mail.yahoo.com (Port 993)

• iCloud Mail: imap.mail.me.com (Port 993)

• AOL Mail: imap.aol.com (Port 993)

• GoDaddy: imap.secureserver.net (Port 993)

• Zoho Mail: imap.zoho.com (Port 993)
