Sync contacts from HubSpot to SolarPlus and vice-versa (optional)
When a quote is sent in SolarPlus, a Deal is created in HubSpot

Contact syncing
Contacts are synced from Hubspot to SolarPlus automatically every 5 minutes.
The Contact owner from Hubspot is identified and assigned as the Contact > 'Customer Rep' in SolarPlus where the same username exists.
When the new Contacts are added, that user is notified with an in-app notification with the number of new Contacts added.
The new Contacts appear at the top of the Contact list view ready for a new quote to be created.
The Dashboard ‘Leads’ counter widget can be used to get a view all of leads created today (set option for 1-day view).
Deal Creation
When a quote is sent from SolarPlus and the quote status is changed to PENDING (With Customer), then
(a) A deal is created in Hubspot related to the Contact.
The Deal name is in the convention ‘{quote-number} + {system-name}’
The deal owner is the same user as the Customer Rep.
A new deal will be added for each quote sent.
(b) Deal properties fields are updated from SolarPlus:
Opportunity price
Deal stage
Quote sent date
Created date
Close date (set from SolarPlus ‘Quote expiry date’
(c) Custom properties fields are added to the Deal from SolarPlus:
Quote status
Quote number
System-ID (SolarPlus system ID)
SolarPlus created date (contact created date)
Price ex GST before STC and Rebates
Quote total GST
STC value (certificate)
Quote Acceptance Page URL
Proposal PDF URL
Install Job Pack PDF URL
SolarPlus view quote page URL
Custom fields will be created where they do not exist. In this case they will not have a friendly name but will have a format with underscores like ‘quote_status’.
(d) All quote lines items are synced to Hubspot and associated with the deal

Data update syncing
Essential information is required to be synced in order for single source of truth to be maintained.
Any change to these fields in SolarPlus will sync the information to Hubspot.
Contact records:
Contact name,
email
phone
Contact is a company (true/false)
Company Name
Deal stage
Quote status
Subscription
The Hubspot integration is an optional extra ($50+GST/month or $500+GST/year based on your existing billing plan). Contact Support if you wish to add this integration to your account.
Setup
Connect only 1 user account in your business with Hubspot. Do not connect Hubspot with multiple user accounts in SolarPlus - the sync works for all users in the business.
Ensure that your employee’s first and last names in HubSpot match the first and last names in SolarPlus
Contact accounts@solarplus.co if you do not yet have the Hubspot integration add-on subscription
Ensure you have a List in HubSpot that contains all of the Contacts that you want to be synced to SolarPlus. If you don’t already have such a list, please create one in HubSpot. It might be called ‘Ready for Quote / site visit’. For help with creating lists, check this page: https://knowledge.hubspot.com/lists/create-active-or-static-lists
In SolarPlus, go to More Settings > Admin > My preferences > Integrations > HubSpot, and connect your SolarPlus account to Hubspot.
Select the Contact List/s in Hubspot that contains all of the Contacts that you want to be synced to SolarPlus. This sync will happen every 5 mins. Now Contacts will be synced from this list and any quote sent will sync to a Hubspot Contact if one exists.
Select the Hubspot Deal Pipeline, and the 2 Deal Stages (if you have a large set of lists this may take some time):
When a quote is sent or marked ‘With Customer’ a deal is created in Hubspot. Select the deal stage that this deal should be in.
When a quote is signed by the customer or if the quote is marked as ‘Approved’, the deal stage is updated. Select the deal stage that the deal should be updated to.
(Optional) - Select the option “Sync new contacts from SolarPlus to Hubspot” if you want SolarPlus to create contacts back in Hubspot if the contacts are created in SolarPlus (or if they come from another source like SolarQuotes).
Click Update HubSpot to save changes.
The actions will now take place as described above.
Once the Hubspot account is synced with SolarPlus, custom deal property fields will be automatically created. Do not delete these fields - the deals will not be created in Hubspot if these fields are deleted.
Troubleshooting
Contacts aren’t synced from Hubspot to SolarPlus
Ensure that the contact is create in HubSpot in a specific List, and that this same List is specified in your SolarPlus integration settings as the Contact List.
When a quote is sent from SolarPlus, a deal is not created in HubSpot
If the contact was created in SolarPlus, then you will need to enable “Sync new contacts from SolarPlus to Hubspot”
